The Townhall AGM Preparation meeting was successfully held last Saturday over Zoom. For those in attendance, we think it addressed the questions about the AGM and Director election process. There were nine household participants on the meeting, representing 15 total lots (~25%). Although participation was not as high as the initial April Townhall meeting, it was still quite good, given that we expected less excitement about the topic of AGM and election.
It’s also likely that the pre-meeting communication was clear enough on what the election process would look like that many didn’t feel the need to attend. Even a few of those attending expressed satisfaction with the pre-meeting communication, but they still wanted to participate and stay up to date on the HOA goings-on.
A good portion of the meeting was taken up running through in more detail the steps of the election process; nomination, campaign, voting and results communication, along with explaining a bit more on the financial accounting and dealing with resolutions that would occur at the AGM. There were not a lot of extra questions or comments. And the meeting closed out somewhat early at 4:35 after everyone had ample opportunity to speak.
The Board took away these two key follow-ups:
• look to ensure full transparency and no bias or even apparent bias in the election process and results, adding some volunteer HOA members as additional independent reviewers of the election results beyond web/survey master Kristin Arnold.
• keep up regular communication over the next month and a half to send out reminders to the HOA membership so that we have a good number of candidates during the nomination period and also a good representation from the membership during the voting period.
