HOA Volunteer Gardening Committee/Group Being Formed

The HOA board is open to the creation of a volunteer committee to undertake maintenance of the 4 existing gardens in the subdivision, and in a further email (January 25th), to oversee the clearing of sand and foliage pruning on Lila’s Beachwalk.

The board has set a February 15th timeline for the creation of a committee and submission of a first draft proposal.

As of this writing, Carl Costa, Patricia Bennett, and myself are among those agreeing to be among the volunteers. My role, at this point, is only to gauge interest. A chair of the newly created volunteer committee/team will be chosen by the members themselves.  

Please email Audrey Bell if you are interested in joining the committee/group. Given the timeline set by the HOA board, it would be helpful to receive your reply by February 1st. 

Background
In an email issued on January 23rd , the HOA board stated …The cost to maintain the flower beds in the community was one of the December identified improvement opportunities for 2022.  It is good to see energy in the community around the formation of a volunteer HOA committee to take on this activity in 2022, which the Board supports.  To make this shift from contractor-based work to volunteer-based work, the  HOA needs a proposal describing the volunteer flower bed maintenance plan; the scope of work (activities and schedule), the skills required, who will be doing the work, and a budget estimate for 2022.  The proposal also needs to include a description of the committee structure, financial controls, and safety protocols under which this volunteer group will function. The Board asks that the leadership of the volunteer maintenance committee submit a first draft proposal to the Board by February 15, so that a final product can be achieved by mid-March.

In a subsequent email received on January 25th , Shane Stark provided further information regarding the scope of the work the HOA board is prepared to sanction …

  • include the flower bed maintenance at all subdivision beds, with the fourth bed at Sunset Beach walk near the pumphouse definitely needing to be part of the program
  • include the Lila’s sand clearing and foliage pruning, if the group wishes to also take that on
