AGM Preparations

A short update here for you in a few areas as things progress toward the Association’s first Annual General Meeting (AGM), set for Saturday, August 14.

The Director nomination period for the first elected Board of Directors of the Association is now closed.  There are seven nominees that have put their names forward as candidates for the upcoming election to serve the community as Directors.  The submitted campaign material from the candidates can be found on the Sunset Dunes PEI HOA website.

The election period is set to begin on Sunday, July 25 with the sending by email (to this same address) of electronic survey ballots to all lot owners.  The election period is planned to start on July 25 and close at the end of the day on Wednesday, August 11.  Also, the Board is currently working to confirm the independent reviewers of the Directors election and will share more on that with you shortly on this website.

As we move through the stages of this first Directors’s election, the Board is capturing learnings and formally documenting the election procedure, available here.

Besides installing a new Board of Directors, another key element of the AGM is to consider and deal with any resolutions.  Resolutions can relate to such things as; capital investment projects or operating expense activities to be built into the HOA annual budget, studies to be undertaken to improve the community, rules/regulations/procedures/policies/procedures to be adopted.  If you are interested in bringing an item before the membership, a template resolution and example have been prepared and are now available for you on the website to use as a guide, illustrating a format and list of topics to be considered in developing a proposal.

Final resolutions for the AGM need to be communicated to the membership fourteen days before the AGM date along with the agenda, so July 28 has been set as the deadline for resolution proposals to be submitted to the Board for this year’s AGM.
